The Contacts page gives you a full view of everyone in your SendWhale workspace. You can search and filter your list, update individual contact records, change statuses, add tags, and export or delete contacts when needed.

Searching and filtering contacts

Use the search bar and filter controls to find contacts quickly. You can filter by:
  • Email address — exact or partial match
  • Name — first or last name
  • Tag — any tag applied to the contact
  • Status — subscribed, unsubscribed, bounced, or suppressed
  • Custom attribute — any attribute value you have stored on a contact
Combine multiple filters to narrow results further.

Contact fields

Each contact record holds the following core fields:
  • Email — the contact’s email address (required; used as the unique identifier)
  • First name and Last name
  • Tags — one or more labels for categorization
  • Custom attributes — additional data fields you define for your workspace
  • Status — the contact’s current deliverability and consent state

Contact statuses

Subscribed

The contact has opted in and is eligible to receive marketing email from your workspace.

Unsubscribed

The contact has opted out. SendWhale will not include them in marketing sends.

Bounced

The contact’s email address returned a hard bounce. They are excluded from future sends.

Suppressed

The contact has been manually suppressed. They are excluded from all sends regardless of other settings.

Tags

Tags let you categorize contacts for segmentation and filtering. From a contact record or in bulk from the contact list, you can:
  • Add a tag — attach one or more existing tags, or create a new tag inline
  • Remove a tag — detach a tag from the contact without deleting the tag itself
Tags are reusable across your entire contact list and can be used as filter conditions in segments.

Custom attributes

Custom attributes let you store extra data fields on each contact — for example, a subscription tier, a preferred location, or a loyalty point balance. You define attribute keys at the workspace level and set values per contact. Custom attributes can be used in segment conditions and as merge fields in campaign content.

Changing a contact’s status

You can manually change a contact’s status from the contact detail view. Common scenarios include:
  • Setting a contact to Suppressed after receiving an opt-out request outside of SendWhale
  • Re-subscribing a contact to Subscribed after you have collected and documented fresh consent
Do not re-subscribe a contact without their explicit new consent. Changing a status to Subscribed without a documented consent record may violate applicable email marketing regulations.

Exporting contacts

Download your contact list — or a filtered subset of it — as a CSV file. The export includes all core fields and custom attributes visible in your current filtered view. Use exports for backups, audits, or migrating data to another tool.

Deleting contacts

Permanently delete a contact record from the contact detail view. Deletion is irreversible and removes the contact from all audiences and segment results. If a deleted contact re-submits a signup form, they will be created as a new record.
Deleting a contact does not automatically remove them from historical campaign reports. Report data reflects the sends that already occurred.
